BAX/Brooklyn Arts Exchange is a community based performing arts center dedicated to developing artists of all ages, from children to professionals. The organization offers community access to arts and culture, supporting the creation of new work by emerging artists, engaging diverse audiences and providing arts education to youth and families. BAX has intentionally constructed an environment where children study and professional artists create under the same roof. Students are mentored by professional directors and choreographers. The organization’s distinct focus on developmental process makes it a nurturing incubator for experimental dance and theater artists and is an important advocate for under-represented voices in the New York City performing arts community.


We seek a Part Time Education/Administrative Assistant to support our youth educational programs in dance, theater and tumbling (approx. 25 hours/week), specifically serving as a faculty/family liaison during Saturday classes, coordinating BAX birthday parties and financial aid applications. Additionally, the Education Administrative Assistant will provide general administrative support at BAX’s reception, including booking space rentals and class registrations, taking phone calls, doing database entry and maintaining internal management systems, etc. The ideal person has previous professional experience working as an administrator, has a passion and enthusiasm for youth education and experience/knowledge in dance/theater education and performance. The Assistant must enjoy working collaboratively in a broad range of settings with a diverse group of people and in a multi-faceted and fast-paced organization. Assistant works closely with a team of part-time reception administrators as well as the Education Director, Education Manager, BAX faculty, and the Operations Manager.  A successful candidate is energetic and personable with strong communications skills, is an excellent administrator and highly detail-oriented. The position reports to the Education Director and Operations Manager.


Responsibilities Include:


Education Assistant Role: provide general administrative support to the Education Department, specifically in the following areas of programming:

Saturday/Admin and Education Departmental Representative: act as a representative of the education department for students, families, and teaching artists during Saturday classes.

Answer questions about classes registration options, program and term dates, financial aid, etc.;
Act as liaison between Saturday teachers/families and the Education Director and Manager.

Birthday Parties: support all matters related to BAX birthday parties, including family and faculty communication, event logistics, partnerships, and payments.

Manage Birthday Party bookings and book teaching artists for Birthday Parties, including preparing contracts, maintaining inventory, etc.;
Coordinate scheduling with Operations Manager and/or Managing Director;
Maintain and update Birthday Party pages on BAX website and communicate with the Marketing and Communications Department.

Financial Assistance: support all matters related to financial assistance, including processing applications, family communication, and payment tracking.

Primarily liaison between financial aid families and BAX administration (both Operations and Education Departments);
Prepare financial aid offers/statements, and contracts for Youth Classes and School Breaks Programs;

Reception/Administrative Assistant Responsibilities:

General administrative support including taking registrations and space rental requests, family communication over the phone and in person, database management, among other tasks.



BA or BFA in arts or arts education preferred. Dance and theater education/strong interest preferred.
Previous administrative experience, preferably with arts education and/or within the non-profit sector.
Excellent administrative, organizational, multi-tasking and time-management skills;
Ability to manage and develop administrative systems.  
Strong interpersonal, collaborative, and communication skills.
Knowledge and experience with basic computer technology including database (Filemaker or equivalent), Microsoft office, social media, WordPress; comfort with web design a strong plus.



The Education Assistant schedule is generally Monday, Wednesday, Friday, and Saturdays (8:45-3/3:30pm) with at least one staff meeting per month. Hours may have some flexibility and/or be subject to adjustment prior to start date based on organizational needs and ideal candidate.



The hourly rate for this position is $14-15/hour, approximately 25-28 hours/week. This is an excellent professional development and growth opportunity for someone looking to draw from BAX’s nearly 25 years of experience providing professional artist services, youth, and family services.
